Boost Your Efficiency with Keyboard Shortcuts
Using keyboard shortcuts can significantly speed up what you are working on. While most users are familiar with copy (Ctrl + C), cut (Ctrl + X), and paste (Ctrl + V), here are some lesser-known shortcuts that can make document handling a bit easier:
- Open a document: Ctrl + O
- Create a new document: Ctrl + N
- Save your work: Ctrl + S
- Close the document: Ctrl + W
- Jump to the end of a document: Ctrl + End

Reduce Eye Strain with Dark Mode

To enable Dark Mode:
- Click File in the top menu.
- Select Account.
- Look for Office Theme and choose Dark Grey or Black.

Clipboard: Your Secret Productivity Booster
Did you know Word has an advanced Clipboard tool that stores multiple copied items? Instead of copying and pasting one thing at a time, the Clipboard allows you to collect multiple pieces of text and images for easy access.
To use it:
- Click the Clipboard icon in the Home ribbon.
- A panel will appear on the right, displaying all copied items.
- Click any item to paste it where your cursor is located.
This feature is perfect for rearranging paragraphs or managing content more efficiently.
Convert PDFs and Extract Text from Images
Need to edit a PDF but don’t want to retype everything? Microsoft Word can convert PDFs into editable Word documents!
Simply:
- Open Microsoft Word.
- Click File > Open, then select your PDF.
- Word will notify you that it’s converting the PDF to an editable format—click OK.
Even more impressive, if your PDF contains images with text, Word extracts and formats the text, allowing for easy editing. This is incredibly useful for contracts, scanned documents, and handwritten notes.
Quickly Sort Lists of Dates, Numbers, and Words
If you often work with lists, Word’s Sort feature can save you time by automatically arranging them alphabetically, numerically, or by date.
To use the Sort function:
- Highlight the list.
- Click Sort in the Home ribbon.
- Choose ascending (A-Z, smallest to largest) or descending (Z-A, largest to smallest).
This tool is particularly useful for organising data, event dates, or even a list of clients or tasks.
Navigate Large Documents Effortlessly
If you’re working with a lengthy document, endlessly scrolling to find a specific section can be frustrating. Instead, use the Navigation Pane to jump between headings instantly.
To enable it:
- Click View in the top menu.
- Check Navigation Pane.
- A sidebar will appear with your document’s headings.
Click any heading, and Word will take you straight to that section. This feature is a game-changer for reports, research papers, and lengthy contracts.
Sadly, one of our favourite features has been removed. Smart Lookup allowed users in Microsoft Word to quickly look up definitions, synonyms, and contextual information for a selected word or phrase, without leaving the document.
The alternative option is to use Co-Pilot but I am afraid that will have to be another blog!
